1. Who we are

This Privacy Policy is issued by the organisers of HOSPICA (HOSPICA — Gujarat Hospital & Healthcare Expo), organised by Gujarat Association Of Hospitals, Nursing Homes & Allied Healthcare Services (GAHNA) and supported by Ahmedabad Hospitals & Nursing Homes Association (AHNA) (“HOSPICA”, “we”, “us”).

This policy applies to https://hospica.in, visitor and exhibitor registrations, award nominations, contact enquiries, event passes, and messages we send by email, SMS or WhatsApp.

2. Scope

It covers personal data processed when you:

• Create or retrieve a visitor, exhibitor or awards account / registration on this website
• Submit a contact or helpdesk enquiry
• Request or receive a one-time password (OTP), event pass or confirmation
• Receive messages from HOSPICA through the WhatsApp Business API

By registering, requesting an OTP, or messaging our official WhatsApp Business number, you agree to this policy.

3. Information we collect

Depending on the form you use, we may collect:

• Identity and contact: name, title, designation, mobile number, alternate mobile, email, city, state, country, pincode and address
• Account / registration: visitor ID, exhibitor company details, GSTIN, website, product categories, stall preference and related event information
• Verification: OTP codes sent to your mobile / WhatsApp, verification status and timestamps
• Communications: messages you send us, and records of OTPs, passes and updates we send you
• Technical: IP address, browser type, device information and basic analytics cookies used to operate and improve the website

We do not ask for payment card details on this website. Stall payments, if any, are handled separately by the organisers.

4. How we use your information

We use personal data to:

• Create and manage your visitor, exhibitor or awards registration
• Verify your mobile number and prevent duplicate or fraudulent accounts
• Issue digital / printable event passes and exhibitor confirmations
• Respond to helpdesk enquiries
• Send transactional messages (OTP, registration confirmation, pass, stall status)
• Send optional event updates only where you have opted in
• Comply with legal, security and event-operations requirements

We do not sell your personal data.

5. WhatsApp Business API

HOSPICA uses the WhatsApp Business Platform / WhatsApp Business API (operated with Meta Platforms, Inc. and our authorised messaging provider) to send service messages to the mobile number you provide.

What we send on WhatsApp

• One-time passwords (OTP) to verify your number when you register or retrieve an account
• Visitor or exhibitor pass / confirmation messages after successful registration or organiser action
• Transactional updates about your registration, verification or stall request
• Event-related updates only if you have opted in (for example exhibitor marketing opt-in)

Your consent

When you enter your mobile number and tap “Send OTP”, submit a registration, or continue a WhatsApp conversation with our official business number, you expressly opt in to receive those WhatsApp messages from HOSPICA. WhatsApp OTPs are used instead of, or in addition to, SMS for account verification.

What is shared with WhatsApp / Meta

To deliver a message we share your WhatsApp number and the message content (for example OTP code or pass details) with Meta/WhatsApp and our messaging service provider, solely to transmit that message. Their processing is governed by Meta’s WhatsApp Business terms and privacy policy, in addition to this policy.

Opt-out

You may opt out of further WhatsApp messages from HOSPICA by replying STOP to our business chat, or by emailing exhibitors@hospica.in with your registered mobile number. Transactional messages that are strictly necessary to complete a registration you already started (for example an OTP you requested) may still be sent for that request. We do not use WhatsApp to send unrelated third-party advertising.

6. Sharing of data

We may share data with:

• GAHNA, AHNA and authorised event staff who operate HOSPICA
• IT, hosting, email and WhatsApp messaging service providers acting on our instructions
• Meta/WhatsApp, solely to deliver messages you requested or consented to
• Authorities if required by law

Exhibitors do not receive your raw contact list from this website unless you choose to share it at the venue (for example by badge scan, where that facility is offered).

7. Retention

Registration records are kept for the relevant expo edition and a reasonable period afterwards for pass re-issue, audit, accounts and legal compliance. OTP records are short-lived and expire after use or timeout. You may ask us to update or delete your record where the law allows, subject to records we must retain.

8. Security

We use access controls, encrypted website connections (HTTPS) and limited admin access to protect personal data. No method of transmission over the internet is completely secure. Please keep OTPs confidential and do not share them.

9. Your rights

Subject to applicable Indian law (including the Digital Personal Data Protection Act, 2023), you may request access, correction, or deletion of your registration data, or withdraw consent for optional marketing. Contact us using the details below. We may need to verify your identity (for example via the registered mobile number) before acting on a request.

10. Children

HOSPICA is a professional trade expo. Registrations are intended for adults and healthcare / trade professionals. We do not knowingly create accounts for children.

11. Cookies and analytics

The website may use essential cookies to keep forms and sessions working, and Google Analytics (or similar) to understand aggregate traffic. You can control cookies in your browser settings.

12. Changes

We may update this policy from time to time. The latest version will always be published at https://hospica.in/privacy-policy. Continued use of the website or WhatsApp services after an update means you accept the revised policy.
